Let’s cut straight to the chase.

If you use WPEP to sell your Courses, Content and Services from your own WordPress Website you want to read and implement what i am about to teach you in this article.

My purpose is to give you all the WPEP data privacy-related elements that you can add to your mix to reach GDPR compliance today.

WPEP is a WordPress Plugin and as such, it is deeply embedded into the WordPress ecosystem.

With WordPress version 4.9.6, most of the groundwork has been done for you in order to make your Business & WordPress site GDPR compliant.

WordPress Version 4.9.6 is a Data Privacy release and introduces a whole series of privacy-related features such as:

Privacy Policy page template/creation
User Data Request Handling
User Data Export and Removal tools
Cookie Opt-in for Comments

Over the last few weeks, we’ve made sure that WPEP fully integrates with all the Data Privacy features of this latest WordPress release.

Let me show you how it all works and give you a quick tour of these new features and instruct you on the very few extra pieces you need to add when using one of our Software products on your Website.

Before we move into action make sure you’ve updated your WordPress Version to at least 4.9.6.

Now, the first thing you should do is to update your Privacy Policy.

Go to your WP-Dashboard then go to Settings then click on Privacy.

This newly added feature in your WordPress will enable you to either create a brand-new policy from scratch or choose your existing privacy policy from the drop-down menu.

TO DO Nr.1 FOR YOU! To make your site GDPR compliant you need to list within your Privacy Policy which type of and why data is being collected by the Plugins that are being used on your Site and who has access to that data and for which reason.

In your Privacy Policy, you also need to add a new email contact for your Data Officer whose responsibility will be to manage user data exports and user data anonymization, more on this later.

Let me now give you some sample language which includes the basics around which personal data your WPEP powered eLearning Platform may be collecting, storing and sharing, as well as who may have access to that data.

Depending on which settings are enabled and which additional plugins are being used, the specific information shared by your platform will vary.

When using WPEP (the main plugin) you want to add the following statements to your Privacy Policy:

We collect information about you while going through Courses & Assessments.

What we collect and store

While you visit our eLearning platform, we’ll track:

Courses you have started, including the time you have started them.
Courses you have completed, including the time you have completed them.
Lessons you have completed, including the time you have completed them.
Learning Paths you have chosen within courses.
Going through Assessments will store your answers, assessment status & the timestamp of your last interaction with the assessment.

Who on our team has access

Members of our team have access to the information you provide us. For example, both Administrators, Data Officers, Platform Managers and Individual Courses Managers/Instructors can access data on

Courses you have started, including the time you have started them.
Courses you have completed, including the time you have completed them.
Lessons you have completed, including the time you have completed it.
Learning Paths you have chosen within courses.
Going through Assessments will store your answers, assessment status & the timestamp of your last interaction with the assessment.

Our team members have access to this information to improve the training program & to support you on your learning journey.

When using the WPEP Sales Engine you want to add the following statements to your Privacy Policy:

We collect information & data about you while purchasing Content.

I. What we collect and store

While you purchase on our platform, we’ll track:

The Content or Membership you have purchased & when.
The Content or Membership you have renewed & when.

Who on our team has access

Members of our team such as administrators, platform managers and individual courses managers and instructors have access to the information you provide us. They can access data about:

The Content or Membership you have purchased & when.
The Content or Membership you have renewed & when.

II. Payments 

In this subsection, you should list which third-party payment processors you’re using to take payments on your store since these may handle customer data.

We’ve included PayPal as an example, but you should remove this if you’re not using PayPal.

We accept payments through PayPal (list all payment providers you use on your site). When processing payments, some of your data will be passed to PayPal, (list all payment providers you use on your site including information required to process or support the payment, such as the purchase total and billing information.

Again, this is just a sample language i am handing you here.

You should seek legal advice, or at least run it by your lawyer before adding it to your Privacy Policy.

Note! if you’re using any other Plugins that collect or process privacy related Data on your WordPress site you will need to add those details to your Privacy Policy as well.

Which responsibilities does the Data Officer have?

In most cases, the Data Officer will & can perform two actions on your WordPress Site.

Export Data & Erase Data.

TO DO Nr.2 FOR YOU! You must establish a Process on how to handle and manage a user data export or erase request.

Again, WordPress 4.9.6 has a new feature built in that enables your Data Officer to handle and process such requests with just a few clicks.

When the Data Officer receives a request by email he will go to Tools —> Export Personal Data and enter the email of the requester into the appropriate box and then click on Send Request.

The requester will now get an email and has to confirm the request.

Upon confirmation hereof, your data officer will now export the user data and send it to the requester as a zip file.

Your Data Officer can also handle User data delete requests following the same procedure.

User Data Delete requests can be handled by going to Tools —> Erase Personal Data.

Please Note that the WPEP Personalized Learning Module Conversations will also be stored & included in this WP-Data set.

WordPress 4.9.6 will also automatically add a Cookie Opt-in for Comments to your Blog.
